NLIS reconciliation explained
Your NLIS account is supposed to mirror the cattle standing in your paddocks. In practice it drifts — a transfer the vendor never lodged, a device NLIS doesn't recognise, a beast flagged deceased. Reconciliation is the routine of finding those gaps and closing them. Here's how it works.
What "reconciliation" means here
The National Livestock Identification System (NLIS) holds a record of which electronic devices (tags) are registered to your Property Identification Code (PIC). Reconciliation is simply comparing two lists: what NLIS thinks is on your PIC versus what's actually in your paddocks. Where they disagree, something needs action.
Why your PIC drifts out of step
Even a well-run property accumulates discrepancies, because the two lists are updated by different people at different times:
- Transfer not lodged. You bought cattle, they're in your yards, but the vendor or saleyard hasn't lodged the transfer onto your PIC yet. NLIS still shows them elsewhere.
- Device not authorised. A tag NLIS doesn't recognise as transferable to you — common with privately-bought or older devices.
- EU / deceased flags. NLIS may flag a device as deceased or change its EU status; you need to mirror that in your own records.
- On-farm tagging ahead of sync. You tagged calves before the devices were registered.
- Strays and missing animals. A beast that walked in, or one you can't find.
The four outcomes of a reconciliation
Every tag falls into one of four buckets:

The monthly routine
The producers who never get caught out treat reconciliation as a habit, not a fire drill:
- Pull the current devices on your PIC from NLIS.
- Compare against your animals and classify every tag into the four buckets above.
- Work the gaps — lodge pending transfers, chase vendors, mirror deceased flags.
- Repeat after every major event (sales, purchases, branding) and always before an LPA audit.
